Form I-9
Officially called the Employment Eligibility Verification, Form I-9 is a United States Citizenship and Immigration Services document that is mandated by the Immigration and Control Act of 1986. It is used to verify the identity and legal authorization of every individual who is recruited, referred for a fee, or hired for employment in the United States.
All U.S. employers must ensure:
The employee completes Section 1 of the form no later than the first day of work for pay.
The employee gives identification documents and the form to the employer (or the agent/representative of the employer).
The employer (or agent) completes Section 2 of the form within three business days of the employee’s first day of employment.

For Remote Hire Employees Seeking to Have Their Form I-9 Verified

I-9 Verification Services Provided in the Dallas – DFW Metroplex
Basic Form I-9 Verification service includes:
Scheduling and meeting with your remote-hire employee at a mutually agreed location.
Ensuring proper completion of Form I-9, Section 1: Employee Information and Attestation.
Any corrections required on Section 1 of Form I-9 will be made, initialed and dated by the employee.
Physically examining unexpired original identification documents the employee presents from the Lists of Acceptable Documents (Form I-9, page 3).
Verify both identity and employment authorization.
Complete and sign Form I-9, Section 2: Employer or Authorized Representative Review and Verification.
Return the completed Form I-9 to the employee.
Promptly notify the employer if any issues prevent the Form I-9 Verification from being successfully completed at the scheduled appointment.
A travel charge to meet the remote hire employee is added to the fee for this service.

Same-day email to the employer containing a password-protected URL: Access to encrypted files containing an image of the completed Form I-9.

Electronic Form I-9 Verification service includes:
Scheduling and meeting with your remote-hire employee at a mutually agreed location.
Physically examining unexpired original identification documents the employee presents from the Lists of Acceptable Documents (Form I-9, page 3).
Verify both identity and employment authorization.
Scan images of the documents presented.
Return to the office. Access the employer’s Form I-9 portal. Complete and digitally sign Form I-9, Section 2: Employer or Authorized Representative Review and Verification.
Upload document scans to the portal file.
Promptly notify the employer if any issues prevent the Form I-9 Verification from being successfully completed at the scheduled appointment.
A travel charge to meet the remote hire employee is added for this service.
Protecting Personally Identifiable Information (PII)
The handling and protection of PII is a serious matter. PII data in motion (transitioning from one location to another) is subject to numerous accountability standards, Federal laws, and State statutes.
When requested as an additional service, Roman Express Mobile Notary will perform image captures of Form I-9 and/or identification documents, encryption, cloud uploads, password protection, and subsequent information transmission to an authorized 3rd party (employer).
Images are scanned in the field by a mobile digital device, using Adobe Scan. The images are saved as encrypted .pdf files and automatically uploaded to the Adobe Document Cloud, for secure storage. No files are saved on the mobile digital device.
For Paper Form I-9’s:
The employer is emailed a password-protected URL to access the employee’s encrypted files stored in the Adobe Document Cloud.
Sensitive PII files are never attached directly to email correspondence.
Passwords are communicated to the employer separately.
Once the employer acknowledges receipt of the files, Roman Express Mobile Notary will permanently delete the files stored in the Adobe Document Cloud.
For Electronic Form I-9’s:
The employer provides access to their secure Form I-9 portal, in order to complete Section 2 and upload images of identification documents.
Roman Express Mobile Notary retrieves the images from the Adobe Document Cloud and uploads them to the employer’s secure portal, as instructed.
Roman Express Mobile Notary permanently deletes the employee’s encrypted files stored on the Adobe Document Cloud, once the portal transaction is completed.
Legal Notice
Roman Express Mobile Notary provides Form I-9 verification services in the Dallas-DFW Metroplex. Service is provided as an authorized representative of the employer – not as a Notary Public. A Notary Public is often sought out for I-9 verification services because they are considered trustworthy, attentive to detail, and experienced with checking identification credentials.
The State of Texas does not authorize a Notary Public to certify a Form I-9. However, the Texas Secretary of State website has clarified that Roman Express Mobile Notary (a business entity) may assist a business that employs their services in filling out a Form I-9, as long as the work is not performed in the capacity of a Notary Public.
